Assignments
Assign team members to orders, trips, and groups to distribute work and track responsibility.
Assign team members to orders, trips, and groups to distribute work. Assigned items appear on each person's My Work dashboard, and list filters show only assigned items.
How It Works
Every order, trip, and group has an assignment button in its header. Click it to see current assignees and to add or remove team members.
Assignment Types
You can assign team members to three types of records, each serving a different coordination need:
| Entity | Where the Button Appears | Use Case |
|---|---|---|
| Orders | Order header, next to the status badges | Track who is responsible for a customer's booking — handling payments, participant details, and communication |
| Trips | Trip header | Track who is managing a departure — coordinating suppliers, confirming bookings, and ensuring readiness |
| Groups | Group header | Track who is coordinating a group booking — managing shared payments, messaging group members, and tracking all orders in the group |
Multiple team members can share the same assignment, with no limit on assignees. This is useful when several people collaborate on a large group or a complex order.
How to Assign
Assigning from the Header
- Open an order, trip, or group
- Click the assignment button in the header (shows user initials or a "+" icon)
- A popover opens showing:
- Assign myself — Quick self-assignment button
- Assigned — Currently assigned team members (click to unassign)
- Available — Other team members you can assign
- Click a team member's name to assign them
The assignment takes effect immediately.
Self-Assignment
Every team member can assign themselves to any order, trip, or group — regardless of role. To self-assign, open the assignment popover and click Assign myself.
Unassigning
- Admins can remove any assignment by clicking the assigned user's name in the popover
- Regular users can only unassign themselves using the Unassign me button
How Assignments Appear in the UI
The assignment button in the header of every order, trip, and group shows assignees at a glance:
- No assignments — Shows a "+" icon, inviting you to assign someone
- 1–2 people — Shows their initials (e.g., "AB", "CD")
- 3+ people — Shows the first two sets of initials plus a counter (e.g., "AB CD +1")
The popover also marks yourself with "(you)" next to your name, so you can quickly identify your own assignment.
Assignments are visible throughout the interface — on list views, detail pages, and the My Work dashboard — so everyone on the team can see who is responsible for what.
Permission Rules
| Role | Can Assign Others | Can Assign Self | Can Unassign Others | Can Unassign Self |
|---|---|---|---|---|
| Admin | Yes | Yes | Yes | Yes |
| User | No | Yes | No | Yes |
Regular users can always assign and unassign themselves but cannot manage other people's assignments.
Filtering by Assignment
The orders list includes an Assigned to me filter. When enabled, the list shows only orders where you are an assignee — a quick way to focus on your own work without opening the My Work dashboard. The filter persists across other filter changes, so you can combine it with status, date, and other filters.
My Work Dashboard
All assignments feed into the My Work dashboard — your personal work queue. You reach it from the sidebar under Dashboard > My Work. It has three sections:
- My Orders — All orders assigned to you, showing the order code, client name, trip name, departure date, order status, payment status, and price
- My Trips — All trips assigned to you, showing the trip name, trip code, departure date, participant count, and active/inactive status
- My Groups — All groups assigned to you, showing the group name, contact name, order count, total value, and active/inactive status
Each row links directly to the record. The dashboard updates automatically when assignments change.
The My Work dashboard is the quickest way to see everything on your plate. Instead of filtering through full order or trip lists, you see only the items you are personally responsible for.
Audit Trail
Each assignment records:
- Who was assigned
- Who made the assignment
- When the assignment was created
How It Connects
- My Work — Assigned items appear on your personal dashboard.
- Orders — Assign team members to orders for booking responsibility.
- Trips — Assign team members to trips for departure management.
- Groups — Assign team members to groups for coordination.
- Team — Team members and roles are managed in settings. Admin vs. User roles control assignment permissions.
