Trip Detail
A tab-by-tab reference for the trip detail view where you manage products, orders, settings, and communications for a single trip.
When you open a trip from the trips list, you land on the trip detail view. The view is organized into tabs, each focused on a different aspect of the trip. Static trips show eight tabs; dynamic trips add a ninth tab for departures.
Products
The Products tab is your primary workspace for building the trip's content. Here you add, edit, reorder, and organize the products customers see during booking.
What you see
- Product groups displayed as collapsible sections with drag-and-drop reordering
- Ungrouped products listed below the groups (or simply labeled "Products" when no groups exist)
- Each product row showing name, type icon, dates, price, availability, and status
- A duration selector at the top when the trip uses duration options
What you can do
- Add products manually or from your inventory catalog
- Edit a product by clicking its row to open the edit panel with collapsible sections for General, Product Attributes, Pricing, Schedule, Capacity, and Durations
- Clone a product to duplicate it within the same group
- Delete a product (with a warning if it has active bookings)
- Add and manage groups (Select Many, Select One, All Included) to control how customers interact with products
- Reorder groups and products within groups using drag-and-drop
- Collapse and expand groups individually or all at once
- Assign a seating layout to a product for seat-based booking
For dynamic trips, a departure selector at the top lets you view product availability for each departure date.
Availability column
Each product row includes an Availability column that shows how the product's capacity is being used. The column displays a compact progress bar and figures that vary depending on where the product draws its capacity from:
- Freesale -- The product has no capacity limit. The bar is an empty dashed track and the column reads "no limit". The reserved count still appears so you can see how many bookings exist.
- Trip product -- Capacity is set on the product itself. A blue segment shows how much of the total is reserved by bookings on this trip.
- Inventory -- Capacity is inherited from an inventory product. The blue segment shows this trip's reservations, and an amber segment shows reservations from other trips that share the same inventory pool. The pool name and counting type (per participant or per unit) appear below the bar. Click the cell to open the Availability detail dialog for a deeper breakdown.
- Departure -- On dynamic trips with a departure selected, the column shows capacity for the selected departure date.
When a product has variants, the pool caption appears once on the product row and each variant row shows only its own numbers.
Availability detail dialog
For products that inherit capacity from inventory, clicking the availability cell opens a detail dialog. The dialog shows:
- The product name, variant (if applicable), and date range or time slot
- An explanation of how capacity is shared across trips on the same inventory item
- A stacked bar and legend breaking down reservations into this product, other trips, blocked, and free
- For date-range products (such as accommodation), a per-night breakdown so you can see which night is the tightest constraint
- For time-slot products, a single-slot summary with the same breakdown
- A warning when the product is fully booked, on stop-sale, or has no inventory row for its date
From the dialog you can jump directly to the inventory item's occupancy page.
Seating on products
Products that need seat assignments (flights, buses, venues) can have a seating layout attached. Click the seat icon on a product row to open the seating panel where you can:
- Create a new layout or copy an existing template
- View the seat map with color-coded availability (available, reserved, blocked)
- Select seats and set per-seat pricing by participant type
- Block or unblock seats
- Assign seat characteristics (window, aisle, exit row)
The seat selection mode (Optional, Required, or Hidden) controls whether customers choose seats during booking.
Conditions
The Conditions tab controls booking rules and constraints for the trip. It is divided into five independent sections, each with its own Save and Clear buttons.
Booking Cutoff
Set how many days before departure the trip closes for new bookings. You can add a custom message explaining why the trip is no longer available.
Participants
Control how participant types appear on the booking form:
- Adults -- Set the starting count and maximum allowed
- Children -- Choose Default (workspace settings), Configure (custom limits), or Hide
- Infants -- Same options as children
Use this to make a trip adults-only or limit group sizes. Every booking made on the booking form also needs at least one adult.
These limits always apply to the booking form. Bookings made through the Workspace API -- for example from your own website or sales desk -- ignore them unless you turn on Also enforce in the workspace API at the bottom of the section. With it on, the API refuses an order or availability check whose party breaks the limits, with the same message the booking form gives, and advertises the limits to the connected system. Leave it off if your own systems deliberately book parties the booking form would refuse, such as a larger group arranged by phone.
The switch applies to this trip only, and a copy of the trip keeps its setting. Clear resets the limits to the workspace defaults but leaves the switch as it is.
Deposit Overrides
Override workspace deposit settings for this specific trip:
- Allow or disallow deposits
- Change the calculation type (per participant or per order)
- Set a custom deposit amount
- Set a deposit due day count (how many days after order creation the customer has to pay the deposit)
- Adjust the deposit day count (the minimum days before departure that a deposit is allowed -- closer bookings require full payment)
- Adjust the final payment day count (days before departure when the remaining balance is due)
Leave fields blank to inherit workspace defaults.
Payment Page
Override what the workspace shows on the payment page for this trip only. You can control whether the promo code section is visible to customers, hidden, or inherited from the workspace setting. Each option:
- Inherit from workspace -- Follow whatever your workspace is configured to do (the default)
- Show -- Always show the promo code field on this trip's payment page
- Hide -- Never show the promo code field on this trip's payment page
This is useful when a specific trip should not accept promo codes even though your workspace allows them, or vice versa.
Minimum Product Counts
Require customers to select a minimum number of specific product types before completing their booking. You can set a count for each product type and add a validation message shown when minimums are not met.
Below the product counts, a mandatory product message field lets you define the text shown to customers when a mandatory product is unavailable for their party.
Orders
The Orders tab gives you a complete view of all orders created from this trip.
Summary band
At the top, two cards sit side by side:
Trip Revenue -- Shows financial performance for the trip:
- Net Revenue headline (or just "Revenue" when no promo codes are involved). When promo codes exist, gross revenue and the promo deduction are shown alongside.
- A flow bar with proportional segments for group-covered (green), paid (blue), and balance due (gray).
- A legend row beneath the bar with currency amounts for each segment.
- Order status counters (Confirmed, Pending, Registered, Draft, Cancelled) in a footer strip.
- Meta counters for page views and total participants.
Trip Readiness -- Shows the overall completion state of the trip's orders.
Order list
Each order row expands to show:
- Order code, client name, and status
- Payment status and amount
- Participant breakdown (adults, children, infants)
- Individual bookings with product names, dates, and line totals
A toggle lets you show or hide cancelled orders. The readiness doughnut beside each order indicates how close it is to being fully prepared.
You can click any order to navigate to its detail page.
Questions
The Questions tab lets you attach custom questions to the trip or to individual products. These questions appear during the booking process to collect additional information.
Trip-level questions
Questions added at the trip level appear on every order regardless of product selection. Use them for information that applies to the whole booking (dietary requirements, arrival details, emergency contacts).
Product-level questions
Each product has its own section on the Questions tab. Questions added to a product only appear when a customer books that product. Questions copied from inventory products appear here automatically.
Adding questions
Add questions in two ways:
- From a template -- Select from your traveler question library with pre-filled settings
- Custom -- Create a one-off question with a label and field type (Free Text, Yes/No, or Date)
Each question has a label, field type, scope (per participant or per booking), and a required toggle.
Registration
The Registration tab controls the self-service registration portal for this trip.
Settings
- Enable Registration -- Turns the registration link on or off
- Assign to Group -- Optionally route all registration orders into a group
- Welcome Text -- A custom message displayed at the top of the registration page
Registration URL
When enabled, a shareable URL appears that you can copy and distribute to participants. The URL uses the trip's slug and can be opened directly from the panel.
How it works
When someone submits the registration form, the system creates an order with Registered status, adds pre-selected products, creates participant records, and sends a confirmation email. If a group is assigned, the order is added to that group automatically.
Settings
The Settings tab is where you configure the trip's identity, booking process, and data collection.
Basic Information
- Name, code, series, and category
- Description -- a customer-facing text shown in the booking process and on the order page after purchase. Write it as a plain summary of the trip rather than sales copy. Line breaks are kept.
- Labels for filtering and organization
- Duration options (single length or multiple lengths). The length field uses a stepper control for quick adjustments.
- Planned capacity (static trips only) -- how many participants you plan to carry, shown against the participant count so you can see how full the trip is. This is advisory only and does not limit bookings. Uses a stepper control. Leave it empty for no plan.
Booking Process
- Active status toggle (controls whether the trip is bookable)
- Booking page URL (copyable, with a tab for the widget embed code)
- Trip slug with a regenerate button
- Trip ID for reference
Segments
This section only appears when your workspace has the Segments feature enabled. It controls where the trip sits in your segmentation and which segment its orders land in.
- Segment selector -- Choose the segments this trip belongs to. Users only see trips in the segments they have access to, and the override below can only point at one of these.
- Segment Override -- Pins the segment that every order created on this trip lands in, overriding the workspace default and any segment chosen during booking. The override must be one of the segments listed above. Removing a segment from the list automatically clears an override that pointed at it. Clear the override and each order falls back to the workspace default.
- Apply to orders -- Opens a dialog that moves existing orders on this trip into the current segment override. You must save the trip before applying. The button is disabled when no override is set or when the override has unsaved changes.
Apply segment dialog
When you click Apply to orders, a preview dialog opens showing:
- A breakdown of where the trip's orders sit today, with one row per segment, a bar chart scaled to the largest segment, and the destination segment highlighted
- How many orders will move and how many will stay
- Orders that cannot move, listed with a reason: Already there (already in the target segment), Locked (the order is locked to its current segment), or Product not offered / Promo code invalid (a conflict between the order and the target segment)
- An invoice notice when any of the moving orders have invoices issued under their current segment -- those invoices are left as they are
After reviewing the preview, click Apply to execute the move. A summary confirms how many orders moved, how many were already in place, and how many were skipped.
Price Display
Choose whether to show the total trip price or a per-participant price to customers on the booking page.
Price Examples
This section appears on static trips only. Price examples are indicative prices that the Workspace API publishes beside this trip, giving external booking engines headline prices without requiring a live availability lookup.
Each row defines a party composition:
- Adults -- The number of adults in the party
- Children -- The number of children in the party
- Duration -- Which duration the price applies to (only shown when the trip uses duration options)
When you save the trip, the system calculates the price of a default booking for each party and stores the result. The calculated price and per-participant price appear beside the row. If a combination is not bookable (for example, no matching variant exists for that party size), the row shows a dash instead of a price.
Prices recalculate automatically in the background whenever the trip's products or pricing change. You can also click Recalculate to trigger an immediate refresh.
Data Collection Override
Customize which client and participant fields are collected during booking. When the override is off, workspace defaults apply. When you turn it on, the defaults are pre-filled so you can adjust from there.
Supplier Reports
The Supplier Reports tab lets you generate and deliver trip-scoped reports to your suppliers.
Supplier list
Each supplier with active bookings on this trip appears as a row showing:
- Supplier name and configured recipient email
- Number of active bookings for this trip
- Current delivery status (Pending, Sent, or Failed)
Previewing a report
Click Preview to see the exact data that will be delivered. The preview table uses the supplier's configured columns and row mode (one row per booking or one row per participant).
Sending a report
Click Deliver to email the report to the supplier's configured recipient. The status updates in the list so you can track delivery.
Delivery history
After sending, you can view the timestamp, recipient, delivery status (Submitted, Delivered, Failed), download the report, or resend if delivery failed.
Timeline
The Timeline tab provides a chronological audit log of everything that happened on the trip. Each entry records what happened, when, and who did it.
Event types

Filtering
A toggle at the top lets you show or hide system actions so you can focus on changes made by your team. Each entry is tagged as either a user action or a system action.
Characteristics
- Entries are immutable -- they cannot be edited or deleted
- User-initiated entries show who performed the action
- System entries are generated automatically by Itsy
- Related entities (source/destination trips, products) are linked where applicable
Seating
Seating is managed at the product level from the Products tab rather than as a separate tab. When a product has a seating layout assigned, you access its seat map from the product row's seat icon.
Setting up seating
- Click the seat icon on a product row
- Choose to create a new layout or copy an existing template
- The seat map opens in a side panel
Managing seats
From the seat map panel you can:
- View all seats with color-coded status (green = available, red = reserved, gray = blocked)
- Select one or more seats to perform bulk actions
- Set per-seat pricing (adult, child, infant rates) and a color code
- Block seats with an optional note (for crew seats, maintenance holds)
- Unblock previously blocked seats
- Assign seat characteristics (window, aisle, exit row)
- Remove the layout entirely (only when no seats are reserved)
The seat selection mode (Optional, Required, Hidden) is configured separately and controls customer interaction during booking.
