Journal

Recording free-form notes on orders with version history, soft delete, and restore.

The Journal is a collaborative note-taking feature built into every order. Use it to record information that does not belong in the structured timeline -- phone call summaries, payment promises from customers, supplier callback reminders, special requests, or internal coordination notes between team members.

How It Works

Each order has its own journal. Any staff member can post entries, and each entry is tied to its author. The journal keeps a complete version history so you can always see what was originally written and how a note changed over time.

The journal lives on its own dedicated tab within the order, and a preview of the four most recent entries also appears on the Overview tab for quick access.

Creating an Entry

  1. Open the order and navigate to the Journal tab (or use the journal preview on the Overview tab)
  2. Type your note in the composer at the top -- the placeholder suggests common uses like phone calls, payment promises, and supplier callbacks
  3. Click Post

Your name and avatar appear on the entry alongside a timestamp. The entry is immediately visible to all staff members who can access the order.

Editing an Entry

Only the original author can edit an entry.

  1. Hover over your entry to reveal the Edit button
  2. Click Edit -- the text becomes editable
  3. Make your changes
  4. Click Save to confirm, or Cancel to discard

When you save an edit, the previous text is preserved as a version. The entry displays an "edited" indicator so others know it was modified after posting.

Version History

Every edit creates a new version. The original text is never lost.

  • Entries that have been edited show an edited link (or "edited 2x", "edited 3x" for multiple revisions)
  • Click the link to expand the full edit history
  • Each version shows its version number, timestamp, and the text at that point
  • Versions are listed oldest to newest so you can follow the progression

This gives your team a complete audit trail of how information evolved, which is useful when details change (e.g., a customer revises their payment timeline).

Deleting an Entry

Only the original author can delete an entry.

  1. Hover over your entry to reveal the Delete button
  2. Click Delete
  3. Confirm in the dialog that appears

Deletion is a soft delete -- the entry is hidden from the default journal view but not permanently removed. Deleted entries are preserved with all their versions so nothing is lost.

Restoring a Deleted Entry

  1. Toggle the Show deleted switch at the top of the journal
  2. Deleted entries appear with reduced opacity and a "deleted" label
  3. Hover over the deleted entry and click Restore

The entry reappears in the journal as if it was never deleted. Only the original author can restore their own entries.

Overview Tab Preview

The Overview tab includes a journal preview card showing the four most recent entries. This gives you a quick snapshot without switching tabs. The preview includes:

  • Author name and avatar
  • Timestamp
  • Entry text (or "deleted" indicator for soft-deleted entries)
  • A View all entries link that navigates to the full Journal tab

You can also post new entries directly from the overview preview -- the composer works the same way.

Tips

  • Use the journal for anything time-sensitive or conversational: "Customer called at 14:00, promised to pay by Friday", "Supplier confirmed room upgrade, waiting for written confirmation"
  • Keep entries focused on one topic so the history stays readable
  • The journal is internal only -- customers never see it. Use the public notes field on the Overview tab for customer-facing information
  • If you need to correct a mistake, edit the entry rather than deleting and reposting. Editing preserves the timeline and shows others that information was updated
